Bulletin-0009: How Do I Extract Encrypted PHI Data Received from CollaborateMD?

In order to transfer Protected Health Information (PHI) and remain in compliance with HIPAA regulations, CollaborateMD encrypts PHI data using 7-Zip, our open source file archiver. Both Windows and Macs computers can process 7-Zip encrypted files using 7-Zip or Keka, respectively.  The password required to open the encrypted data received from CollaborateMD will be provided by a CollaborateMD Representative over the phone.


Windows (7-zip)
Follow these steps to extract the PHI from an encrypted file received from CollaborateMD: 
  1. If 7-zip is already installed on your computer, go to Step 3.  
  2. Click 7-Zip (www.7-zip.orgto download the open source archiver and install it on your computer.  Please note that you might need Admin Rights on the computer to properly install 7-Zip.
  3. Open the e-mail and save the attachment. 
  4. Right click on the file(s) and mouse over 7-Zip to view the list of options. 
  5. Select "Extract Files".
  6. Enter in the password provided by the CollaborateMD Representative.
  7. Double click on the New Folder that was created from the extraction. 
  8. Open the file(s) located in the New Folder.

Macs (Keka)
Follow these steps to extract the PHI from an encrypted file received from CollaborateMD: 
  1. If Keka is already installed on your computer, go to Step 3.  
  2. Click Kekaosx (www.kekaosx.com/en/to download the open source archiver and install it on your Mac.  
  3. Open the e-mail and drag and drop the file attachment into Keka. 
  4. Enter in the password provided by the CollaborateMD Representative.
  5. Open the file(s).
